Position Overview

The Plant Office Manager Responsible for all duties necessary in assisting Management.  These duties include but are not limited to the daily management of the office functions. 

 

Roles and Responsibilities

(Essential Duties and Functions)

  • Timekeeping:
    • Maintain attendance records for hourly and salary employees.
    • Record and enter daily payroll.
    • Maintain records on vacations, holidays, and floating holidays.
    • Prepare all vacation lists for foremen to ensure proper work replacements.
  • Safety:
    • Wear a hardhat, safety glasses, steel-toed footwear, gloves, hearing protection and respirator as needed.
    • Complies with all environmental, health, safety and training policies, procedures, and requirements.
    • Track and maintain all site-specific training on all visitors. 
    • Review MSHA book monthly for zero errors.
    • Maintain current associate 5000-23 forms issue to miners.
    • Maintain current task training records of all miners.
    • Maintain CRH FFE audit due monthly.
  • Type, distribute, and collect job postings for all plants.
  • Updating all equipment usage, work order requests into the CMMS & Infield program
  • Assist Employee in obtaining information on union, payroll, contract, and procedures.

 

  • Maintain all office equipment.
  • Answer phones and greet visitors.
  • Maintains professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a “need to know” basis.

 

  • Regular and timely attendance is required.
  • Additional duties as assigned or required.

 

Marginal Duties and Functions

  • Perform other related duties and special assignments as directed.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

Required

  • High School diploma or General Education Degree (GED) with 4 years of related office experience
  • Excellent written and verbal communication skills.
  • Knowledge of Microsoft Office; experience in accounting or business specific software

 

Preferred

  • Associate degree or bachelor’s degree in accounting or business administration preferred.
  • Any equivalent combination of experience and training that provides the preferred knowledge, skills and abilities.

 

Work Requirements

  • Display a professional and courteous attitude to co-workers, supervisors, and general public at all times. 
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Must be willing to travel and work away from home when required.
  • Must be willing to work overtime and weekends when required.

  • Working knowledge of English and Math, office practices and procedures
  • Excellent communication and customer service skills.
  • Ability to maintain records and files.
  • Ability to communicate effectively with and work well with other personnel.
  • Ability to deal effectively with questions or problems, seeking assistance when needed.
  • Must be computer literate.
  • Perform a variety of duties, often changing from one task to another of a different nature.

This job will require both office work and field work. While performing the duties of this job, the employee occasionally works near moving mechanical parts and in outside weather conditions and is occasionally exposed to wet and/or humid conditions.
