Summary:
The Administrative Assistant collects, records, and files documentation regarding policies and procedures, permit conditions, and federal and state regulations. This position maintains files, generates and distributes reports. The position performs general secretarial and clerical duties.
What you’ll be contributing:
- Promote and follow all plant safety guidelines.
- Maintains records indexes and file documentation.
- Ensures that the accuracy of the information has been verified, proper signatures have been obtained, and all paperwork has been completed in compliance with permit conditions and with federal and state regulations.
- Enters, maintains records, and reconciles, data.
- Ensures residue manifests are received within 45 days and generate correspondence to the appropriate government regulatory agency as a notification of unreceived manifests.
- Provides requested records during both internal and external audits/inspections.
- Generates a SAFE Observation report for the Safety Manager that accounts for the number of SAFEs completed by plant personnel
- Verifies and updates contact information for personnel and/or agencies listed in the Crisis Management Plan, ECS Emergency Contact section, and Emergency Response Team Members.
- Updates and maintains a book that lists the history of significant waste fuels department events/changes
- Creates revisions to the RCRA permit. Sends notification and documentation to appropriate government regulatory agencies and outside emergency assistance agencies. Generates and sends the permit modification notification in a timely manner to individuals listed on the Facility Mailout List.
- Coordinates training schedules, generates reminders to personnel, maintains training documentation, and ensures training has been completed by all personnel.
- Schedules, maintains, reconciles invoices, and resolves invoice discrepancies for medical surveillance and DOT examinations. Maintains a cost-benefit analysis of the railcar cleaning service. Provide fuel qualification information for each generator to the railcar cleaning contractor.
- Maintains and distributes the Evacuation Drill Muster Roster.
- Attends and assists with RCRA, MSHA, Joint Safety Committee, and other training/events related to waste fuel, environmental, and safety activities.
- Tracks the completion of fall protection and employee lock inspections for the waste fuels department.
- Ensures environmental and waste fuel fees are calculated correctly and paid on time.
- Enters pre-qualification and re-qualification fuel quality data into SalesLogix. Ensures new generators receive approval letters as required by the RCRA permit.
- Generates, copies and distributes reports, correspondence, and other documentation of waste fuel, environmental, and safety activities to Ash Grove files, appropriate management, fuel suppliers, and regulatory agencies.
- Creates and edits various forms and documents (SOPs, Crisis Management Plans, Contingency Plans, Employee Listings, etc.). Maintains logs, drafts copies, or uses equivalent means to track revisions.
- Additional duties as assigned by supervisor.
To succeed in this position, you will need:
- High School Degree or GED is required
- Minimum 1 year of general office work experience
- Proficient in English written, verbal communication, and listening skills.
- Proficient in time management and priority-setting skills
- Excellent organizational skills
- Ability to operate computers for storing data, generating reports, and correspondence.
- Knowledge of administrative responsibilities required by regulatory agencies for waste fuel activities.
- Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.
- Ability to work under general supervision and refers questionable items to supervisor
What to expect in a cement environment:
Work to be performed in a shop environment as well as outdoor exposure throughout the plant. Mild exposure to cement dust, heat, cold, and noise requires compliance with specified safety guidelines and procedures. Exposure to high elevations of up to 250 feet in height. Exposure to all weather conditions. Normal operation of mobile equipment may result in jarring and vibratory exposure.
