Position Overview

Analyzes and organizes office operations and procedures such as bookkeeping, preparation of payrolls, personnel, information management, filing systems, requisition of supplies, and other clerical services. 

 

WAGE RANGE:  $24 to $26 dependent on experience. 

 

Key Responsibilities (Essential Duties and Functions)

  • Maximizes office productivity through proficient use of appropriate software applications.
  • Researches and develops resources that create timely and efficient workflow.
  • Establishes uniform correspondence procedures and style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Plans office layout, develops office budget, and initiates cost reduction programs.
  • Reviews clerical records to ensure completeness, accuracy, and timeliness.
  • Prepares activities reports for guidance of management.
  • Coordinates activities of various clerical departments or workers within department.
  • Coordinates and oversees Meeting venues, Operating Company events including but not limited to company picnics, spring startup meetings, survey and training events.
  • Maintains contact with customers and outside vendors.
  • Pay Association, Season Ticket, and Misc. Event Invoices
  • Coordinates appropriate building Maintenance & Review Workorders & Invoices
  • Maintain Phone Directory & Email Distribution Lists
  • Oversee public relations, donation committee, advertising strategy to build operating company brand.
  • Provide assistance to the operations and support teams as appropriate.
  • Supervisory responsibilities – oversee 1-2 clerical staff
  • Other duties as assigned.

 

 Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Education/Experience

  • High school diploma or General Education Degree GED is preferred.
  • Applicable experience

 

Work Requirements

  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Compliance with all OSHA and/or MSHA regulations.

 

Knowledge/Skill Requirements

 

  • Knowledge of word processing​​​​​​
  • Various computer applications necessary for the efficient and successful completion of essential duties and functions.
  • Ability to read, write and do basic mathematical calculations.
  • Ability to understand and follow verbal and written instructions.
  • Ability to effectively communicate verbally and in writing.

 

Physical Requirements

  • Able to stand, walk, use hands and fingers to manipulate objects or controls, climb or balance, stoop, kneel, crouch, crawl, talk and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.
  • The employee is frequently required to sit, climb, and use hands. 
  • The employee is occasionally required to stand, walk, crawl, kneel, bend, and reach with hand and arms above their shoulders.
  • Must be able to exert 10-20 lbs. occasionally move objects, 25 lbs.

 

Work Environment

  • Standard office environment.
