Internal Job Description:

Position Overview

This is a highly critical, customer facing role that will manage the company’s front desk and perform a variety of administrative and clerical tasks and contract administration consisting of preparation, review and administration of construction projects.

Key Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Sort, open and distribute mail/deliveries
  • Answer, screen and forward incoming phone calls, check voicemail and email
  • Be responsible for snowplow contracts and calls.  Maintain master list and plow sheets
  • Check Fire extinguisher on the 1st of every Month
  • Conduct calibration tests on the Air Quality Monitors
  • Take recycling to bins
  • Place orders for new phones, tablets and computers through IT
  • Take cash and miscellaneous check deposits to the bank
  • Manage office cleaning, maintenance, and grounds.
  • Review, set up and monitor all Project Contracts
  • Maintains projected job lists and updates work under contract lists
  • Reviews Cost Coding and assigns pay codes within computer system
  • Monitors compliance to contract requirements ensuring all conditions are satisfied before approval of the final invoice
  • Set up, issue and manage subcontracts
  • Secure bonds and handles all insurance requests
  • Help organize office/company functions and gifts
  • Order and send out customer Christmas cards  
  • Shop for office supplies and keep inventory stock
  • Cross-train for other office positions
  • Be to work on time and ready to work by scheduled start time
  • Other duties as assigned

Education/Experience

  • High School diploma or general education degree (GED) is required.

Work Requirements

  • Proven work experience as a front office representative, receptionist, or similar role

Knowledge/Skill Requirements

  • Proficiency in Microsoft Office Suite: Word, Excel and Outlook
  • Ability to operate office equipment, including but not limited to: Computers, copiers, 10-key adding machine, printers, fax machines and scanners.
  •  Excellent customer service skills
  • Solid written and verbal communication skills
  • Multitasking and time-management skills, with ability to prioritize tasks
  • Ability to work well with others in a group or one on one settings
  • Professional attitude and appearance
