Position Overview

Position will have complete responsibility for managing job costing, set-up, and maintenance.  This position will interface internally with various stake holders including, project managers, contract manager, construction and paving management, as well as payroll.


Key Responsibilities (Essential Duties and Functions)

  1. Scrub timecards for approval - look over each timecard submitted to verify hours, equipment, progress, etc. Send out JP Summary for all to view and verify.  Edit/adjust as needed (with email/text verification from PM or Super).  Also verify progress with material batch once received (see below)
  2. Scrub timecards for previous week to look for missing hours, giving ample time to reach out to foreman and/or Supers/PM's. 
  3. Timecard Setup
  4. Verify tons, price, phase on batch report. Confirm via progress on timecards or recap sent by PM/Supers (when supplied).  Adjustments as needed, then post.  Also create tack batch for posting.
  5. Batch moves - when tons need to be moved to an alternate phase, to waste, another job, etc
  6. Certified Payroll - Run CPR's for previous week to be sent out to all certified jobs.  Send out with any sub certs received to confirmed contacts. Also follow up with subs if not received. Update EBO for any MHD jobs.  If RI, CT, airport, etc. additional forms and/or programs are used. 
  7. DJC's - sent out daily
  8. Update EBO (payroll) - addresses, rates, title
  9. Troubleshoot issues
  10. Updating spreadsheets ie: CP contacts, email addresses, etc., weekly employee tracking sheets, timecard instruction for foreman/time enterers, schedule
  11. Off Season – Assist contracts team with closeouts, annual sub contract packages etc.


Individuals must possess the following knowledge, skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job with or without reasonable accommodations, using some combination of skills and abilities.



  • B.A. degree, or equivalent education and experience.
  • Previous experience preferred but not required.

Knowledge/Skill Requirements

  • Ability to write routine reports and correspondence Ability to multi-task and triage as needed without getting overwhelmed.
  • Must have an extreme attention to detail.
  • Excellent written and verbal skills, strong interpersonal skills and ability to diplomatically handle challenging situations.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 
  • Ability to compute rates, ratios, and percentages and to draw and interpret bar graphs
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to speak effectively to customers or employees of organization.
  • Expertise with Microsoft Office Suite, particularly Excel and Word.
  • Experience with Primavera preferred.
  • Ability to read and interpret documents such as job specifications, bid documents, and procedure manuals
