Position Overview

The Dispatch Manager is responsible for daily operations of the Ready-Mix Dispatch. This includes all areas of production, delivery, and personnel supervision. Reporting to this position are the Dispatch Supervisor, Scheduling and Shipping Specialists, and Customer Service Specialists. This position reports to the GM of Redimix and works closely with Quality Control, Area Managers, and Ready-Mix Sales. The Dispatch Manager sets the tone and culture for the Dispatch Office and leads the team by example through creating strong relationships with customers and all team members.

Key Responsibilities (Essential Duties and Functions)

  • Fully understand and follow the company's philosophy as it pertains to customers.
  • Determine staffing needs for the entire dispatch team to fulfill concrete demands.
  • Schedules driver start times and gives those times to Southern and Central Plant Managers to schedule the drivers.
  • Communicate with Northern Plant Managers regarding open schedules to efficiently use company time and resources for all scheduled jobs and shared territories.
  • Oversee the Dispatch team to ensure efficient operations and timely delivery of concrete.
  • Utilizes GPS/scheduling software to monitor truck status on a constant basis to ensure customer satisfaction and maximum equipment and labor utilization.
  • Comfortable navigating a multi-monitor system while using maps, GPS, and answering phones in a fast-paced environment.
  • Analyzes and reviews yardage and delivery reports to ensure efficiency.
  • Schedule site visits, monitor location of spare trucks and efficiently monitor truck movements for minimal down-time.
  • Review all orders and tax codes for accuracy.
  • Communicate with Mixer Drivers, Pump Operators and Plant Managers, on a frequent and regular basis to avoid or address issues, concerns, or problems.
  • Works closely with operations and safety department managers to ensure drivers follow local, state, and federal safety and DOT guidelines and regulations.
  • Works closely with the RM Sales Department to ensure the highest customer satisfaction.
  • This position is 40% supervisory, 20% customer facing and 40% administrative.
  • Completes all paperwork in its entirety and forward as applicable with paper backup.
  • Exercises discretion, as position requires the handling of confidential information
  • Advises QC, Area Managers, Sales and Operations Manager of all unresolved customer and employee concerns and complaints.
  • Reports, investigates, and alerts Safety Department of all accidents or incidents.
  • Always represent the company in a professional manner.
  • Fosters a team building environment.
  • Performs functions of Dispatch Supervisor, Scheduling and Shipping Specialist, or Customer Service Specialist as necessary.

 

Additional Responsibilities

  • Display a professional and courteous attitude to co-workers, supervisors, and the public at all times.
  • Must be willing to travel and work away from home when required.
  • Must be willing to work nights and weekends when necessary.
  • Report to the assigned job site ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as outlined in the Environmental, Health & Safety Manual.
  • Strict adherence to Pike policies and procedures as outlined in the Employee Manual.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. 

 

Supervisory Responsibilities

·        Assist with interviewing and hiring process as necessary.

·        Willingness to develop subordinates’ technical and leadership skills and make recommendations for new job opportunities when appropriate.

·        Effective management of employee performance through coaching, feedback (written and verbal), rewards, and discipline when necessary.

·        Ability to get work done through others using effective delegation, scheduling, and time management practices.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Education/Experience

  • High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
  • Minimum of 5 years of customer service / dispatching experience.
  • Minimum of 3 years of leadership / supervisory experience.
  • Strong negotiation skills, along with analytical and problem-solving abilities.
  • Excellent time management skills and the capability to multi-task.
  • Basic knowledge of accounting, purchasing, sales, marketing, or a related field.
  • Strong organizational, communication, and interpersonal skills.
  • A thorough understanding of industry regulations.

 

General Requirements

  • Ability to read and interpret documents such as safety rules, DOT regulations, and procedure manuals.  Ability to comprehend simple instructions, short correspondence, and memos.  Ability to write routine reports and correspondence.  Ability to speak effectively to customers or employees of the organization.
  • Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Must possess a valid driver’s license and dependable transportation to and from the job site.

 

Knowledge/Skill Requirements

  • Must demonstrate the ability to use a computer to communicate and analyze data.  This includes but is not limited to the use of Outlook, MS Office programs, construction software and web-based programs.

While performing the duties of this job, the employee will work primarily in an office environment but may occasionally be required to go into the field to interact with employees.

 

When in the field the employee may be near heavy equipment and trucks and exposed to wet and/or humid outside weather conditions and extreme heat. The employee may also be exposed to fumes or airborne particles and toxic or caustic chemicals. Traffic patterns and traveling public are included in the field work environment.

 

The noise level in the work environment is usually moderate.
