JOB DESCRIPTION
Office Administrator
As one of the larger heavy highway and general contracting companies in the Chattanooga and, North Georgia area, and a leader in quality performance, Talley Construction understands that outstanding people are key to our success. The Office Administrator works closely with the Accounting Department and will cross-train on various accounting functions. The Office Administrator is the first contact to greet visitors. Computer skills, enthusiasm, outgoing personality, and strong service skills are a must.
Duties will include:
- Monitor (via email) voice mail for company general mailbox
- Open, sort, and distribute incoming mail and paperwork from the field
- Maintain job list for all divisions / Create job folders / file in job folders
- Work closely with the accounting department and assist to include but not limited to –
- Match asphalt plant tickets to FOB customer invoices & Talley jobs
- Enter fuel postings to equipment / job costs
- Back up to Accts Payable
- Back up to Material Sales (Plant AP for deliveries)
- Back up to Plant Billing
- General office manager duties to include but not limited to –
- Organize and place supplies orders as needed for office, shop and plants
- Maintain postage meter, copy/fax paper
- Other office tasks as instructed or when they arise
- Assists other departments as needed
- Reports to Controller
Qualifications and Skills:
- Basic understanding of accounting
- Excellent interpersonal, verbal and written communication skills.
- Excellent data entry skill with minimum 50 WPB (alpha) (test on https://www.typing.com)
- Excellent 10 – key skill with minimum 7500 KPH (test on https://learn10key.com.zip/1zip.html)
- At least 3-5 years of business experience in a professional business environment
- Motivated self-starter, able to work effectively with all divisions with limited supervision
- Intermediate computer skills in Microsoft Word, Outlook and Excel
- Strong organizational skills
- Punctual, with solid time management skills (office hours 8 am - 5 pm with some seasonal overtime)
- High School Diploma
- Willingness to be flexible in scheduled hours (seasonally and during month-end close)
- Willingness to be flexible in duties
- Must pass post offer drug screen
- Must pass Background check
- Must provide proof of eligibility to legally work in the US.
- All new hires will be processed through E – Verify
- New Hires subject to 90 – day probationary period
