Key Responsibilities (Essential Duties and Fuctions)

 

  • Perform primary duties as front office receptionist. This includes answering and directing all incoming calls on a computer-based phone system.
  • Greet all incoming personnel and guest, including tracking of arrivals and departures.
  • Receiving and distributing mail and special deliveries.
  • Provide clerical support to Central Pre-Mix, Inland Asphalt, and Interstate Concrete staff. This includes sending and receiving faxes, prepare and ship outgoing FedEx and UPS packages as requested, communicate tracking information.
  • Provide primary clerical support to the Northwest Division, this includes folding and mailing various projects, supply requests, conference room scheduling and tracking, and other duties as assigned.
  • Provide other administrative support as directed by the Senior Administrator. This includes making copies, assembling materials, filing, laminating, preparing Word documents, Excel spreadsheets, PowerPoint presentations, designing documents in Publisher, social media, record retention and digital document archive support.
  • Assist with company-sponsored charity and non-charity events, and employee events.
  • Enhance organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value.
  • Other tasks as assigned to meet business needs.
  • Regular and timely attendance.
  • Participate in and promote an inclusive work environment.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

  • High school graduate or GED equivalent with vocational training/experience in clerical/office procedures. 
  • Two years’ experience with multi-line phone systems preferred.
  • Knowledge and understanding of typical office/administrative policies and procedures.
  • Proficiency in using MS Office applications: i.e., Word, Excel, Publisher, PowerPoint, Outlook, Explorer, Teams. 
  • Proficiency in using multi-line phone systems, general office equipment.
  • Detail oriented, flexible, organized, strong verbal and written communication skills, able to work with a wide variety of people, possess solid problem- solving skills.
  • Attention to detail is a must!

 

Work Requirements

  • Must pass pre-employment controlled substance testing including marijuana.
  • Excellent organization skills and high attention to detail.
  • Ability to build relationships at all levels within the organization.
  • Proven self-starter with a strong sense of urgency and work ethic.
  • Excellent communication skills, both verbal and written.
  • Ability to do basic math.
  • Ability to apply common sense understanding to carry out detailed written or oral instructions.
  • Full Time Schedule general work time is from 7 AM to 4 PM, Monday thru Friday.
