PURPOSE OF THE ROLE

 

  • The Customer Service Representative supports the Sales Team by ensuring customers receive prompt and effective assistance, and that all enquiries are addressed in a timely and professional manner to maintain a high level of customer satisfaction.

 

KEY TASKS & RESPONSIBILITIES

 

  • Main focus and priority on internal clients (other entities within the Leviat Group), including clients from other countries.
  • Upselling – actively promote associated products when responding to customer enquiries.
  • Maintain relationships with clients by providing support, information, and guidance, as well as researching and recommending new opportunities and service improvements.
  • Process customer orders accurately and in a timely manner, including generating Sales Orders and Delivery Orders, and communicating with supply chain team members to ensure stock availability and the ability to meet customer delivery schedules.
  • Communicate with both internal and external customers, including updating customers on delivery schedules.
  • Support the Sales Team to ensure customers are well assisted and all enquiries are responded to in a timely manner.
  • Handle customer complaints and address them promptly.
  • Manage the customer database, including registering new customers and updating customer information.
  • Liaise with team members at all times and work collaboratively to achieve targets set by the Commercial Director.
  • Customer Logistics Management – Handle project logistics including opening of LC and ensuring all commercial formalities are in line with the customer’s Purchase Order for the products specified.
  • Coordinate with the Purchasing and Logistics teams to ensure effective and timely delivery to the customer’s warehouse or construction site.
  • Prepare Sales/Product forecasting reports based on inputs from Product Heads, and support preliminary inventory planning for product deployment.
  • Record the progress of all enquiries and translate them into monthly reports, including future predicted sales and other reports as directed by the Sales & Marketing Manager. Prepare reports by collecting, analysing, and summarising information.
  • Ensure an efficient tracking system for all sales-related reports.
  • Maintain and update the client database, and ensure proper filing systems are in place so that documents can be traced efficiently.

  • Must posses at least a Diploma/Bachelor Degree or equivalent qualification with relevant experiences.
  • Possess a high level of integrity, ethics and able to maintain confidentiality of sensitive information.
  • Good interpersonal skills and the ability to interact with all level of people in a professional manner.
  • Good and effective communication skills, able to read, write and converse in English fluently.
  • The ability to be flexible, decisive and quick-thinking.
  • Competent with Accounting ERP System.
