The Administrative Assistant provides high-level administrative support to the Executive Management Team at Pennsy Supply and will conduct the role in an effective, confidential, and efficient manner. Competency requirements include customer focus, drives for results, collaborates, communicates effectively, and action orientated.


Essential Duties and Responsibilities

  • Arrange meetings, including all logistics (catering, agendas, and facilities) as directed by the Executive Management Team.
  • Prepare minutes for weekly meeting for the Executive Management Team.
  • Provide administrative support as requested to the Executive Management Team.
  • Coordinates schedules, make appointments, arrange and coordinate travel schedule, maintain calendar and contacts for Company President.
  • Submit and reconcile expense reports on behalf of Company President and/or Executive Management Team.
  • Provides day-day office management support of the executive area:  including managing office visitors, ensuring the meeting and break rooms in the executive area are tidy and answering the main office line in executive area (upon return to work from COVID).
  • Manage requests for the Company President's time in a timely and customer focused manner.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Create PowerPoint presentations as directed.
  • Partner with administrative staff on special projects as needed.
  • Provide day-to-day office management support.
  • Maintain comprehensive and accurate corporate records, documents and resports as needed.
  • Attend site events as requested.
  • Provide back-up support coordination for employee recognition programs including service anniversary awards, above and beyond, and others.
  • Provide back-up support coordination of support items for life events (i.e. bereavement, maternity, etc.).
  • Complete other duties as assigned.


Education and/or Experience

  • High school diploma or equivalent
  • 2+ experience supporting executives preferred, preferably with a large public company.
  • Bachelor's degree preferred.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Viewpoint a plus.
  • Proven ability to develop relationships and work with teams.
  • Excellent interpersonal and communication skills:  building rapport, listening, presenting, giving and receiving feedback.
  • >60 words per minute typing skills.
  • Strong time management skills.
