Collections Specialist - Home Builder (Special Accounts)

 

This position will provide vital support to our team by acting as the collector and liaison between Sales and Home Builder customers. This person will handle important administrative tasks, such as customer account reconciliations, review, research, invoice submissions, and prepare cash application instructions for customer A/R.

They must be able to work accurately and with great attention to detail. Excellent communication skills as they will be working with other departments providing service to both internal and external customers. This position will require superb clerical skills, together with computing and data entry skills.

 

Responsibilities

 

  • Responsible for leading the day to day collections processes of the all Homebuilder accounts and Special Handling accounts for all lines of business as assigned
  • Participate in monthly calls between the Sales Reps and Sales Managers
  • Ensure Systems are updated both internally and externally to complete necessary special invoicing procedures
  • Work closely with the Credit & Collections Manager to ensure standard processes and approved procedures are being followed
  • Monitor aged receivables for assigned home builder A/R accounts and take ownership of other special handling accounts as assigned
  • Work closely with assigned plant personnel to ensure accurate and timely purchase order processing
  • Handle complaints from customers that are escalated
  • Assist Collections Supervisor and Leads with monthly preparation of report, and participation in AR Review
  • Customer Account Reconciliations; reviewing, researching and submitting billing issues and adjustments for approval
  • Signing lien releases and completion letters in the correct home builder systems
  • Communicate troubled accounts and escalate potential risk to Credit & Collections Manager
  • Meet collection targets comparable to other Collectors in the Credit and Collections Department
  • Track and protect lien and bond rights by filing the proper paperwork in a timely fashion based on the state’s lien laws
  • Make collection calls as necessary for any outstanding customer payments within an assigned portfolio

 

Qualifications

 

  • Familiar with the Microsoft Office Suite, intermediate Excel skills
  • Must have outstanding math skills and attention to detail
  • Must be able to effectively communicate with Sales, Peers and Customers
  • Capable of conducting independent research
  • Familiarity with the industry would be a plus
  • High School Diploma or Equivalent  
  • 3+ of Collections experience
