Position Description

 

Position Overview

Provide administrative support in day-to-day shop management. The person will conduct the role in an effective, confidential, and efficient manner, while demonstrating strong customer focus.

 

Key Responsibilities (Essential Duties and Functions)

  • Support company safety culture in the shop environment. 
  • Responsible for ensuring all shop vehicles are appropriately tagged with up to date license plates.  This will include IRP for all fleet and trailers.  Handle quarterly taxes for apportioned plates.  Maintain all permits for move trucks and distributors.  Including Hazmat and Over-Weight
  • Will dispatch a small fleet of move trucks and water trucks.
  • Responsible for timesheets for all hourly shop employees.  Including drivers and mechanics
  • Will order and maintain required fuel levels for operation of equipment and plants.  Including the collection of FURS and monitoring shop tanks
  • Monitoring of supply inventory and issuance of supplies to the crews
  • Data entry for the shop CMMS (Work Order System)
  • Request of purchase orders from Procurement Department and Shop Purchase Card Allocations
  • Maintain and update equipment location map/tracking.
  • Maintain equipment files to ensure DOT compliance.
  • Sourcing of parts and supplies for shop use.
  • File appropriate compliance reports with regulatory agencies.
  • Regular and predictable attendance at assigned times is required. 
  • Other duties as may be assigned. 

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

 

Education/Experience

1-2 years of experience supporting managers, preferably in a fast-paced shop or equivalent environment.

 

Knowledge/Skill Requirements

  • Excellent verbal/written communication skills.
  • Ability to handle confidential information and maintain strict confidentiality.
  • Demonstrate close attention to all details.
  • Demonstrate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Demonstrated strengths in customer focus, action orientation, problem solving, interpersonal savvy, time management, planning, organizing, dealing with ambiguity, composure, organizational savvy and drive for results.
  • Ability to work independently and in a team environment.

     

    Work Requirements

  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Strict adherence to safety requirements and procedures as per company policy.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Must maintain current driver’s license that meets state requirements.
  • Must be willing to travel and work away from home when required.
  • Report to work at designated start time and work required hours.
  • Must be willing to work nights and weekends when necessary.
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA.

     

    Physical Requirements

  • Able to communicate effectively with others by telephone, electronic correspondence, and in person.
  • Able to utilize a computer for word processing, e-mail communication, and preparation of documents and presentations.
  • May require sitting for extended periods of time.
  • May require occasional lifting of objects up to 10 lbs. or using exertion forces of pushing/pulling of up to 10 lbs.

     

     

    Work Environment

     

  • Standard office environment such as a multi-function copier, fax, scan, mail sorting/folding machine and multi-line telephone.
