Job Summary
Reporting to the Marketing and Communications Manager, this position will lead the planning and implementation of over 50 regional and national tradeshows and external events for our businesses across North America. The primary function of this role includes managing and updating the overall events schedule and timely day-to-day submissions for tradeshow event deadlines for booth space, meeting space, equipment, utilities, show labor, etc. This manager's role is to own the organization and execution of each show, along with the after-show reporting and ongoing ROI evaluation. The tradeshow manager will work with marketing managers to host pre-show review meetings for sales and business leaders, at show meetings to review guidelines and expectations for tradeshow lead generation results, and post-show summary and evaluation. This role will also recommend and support the marketing budget for each committed tradeshow. The ideal candidate will have 3-5 years of successful tradeshow management experience, proven skills in communication, both written and oral, and a command and energy to motivate team members at events.
Job Responsibilities
- Manage and update the overall tradeshow and event plan for our businesses
- In collaboration with business and marketing leaders, develop and manage the strategy and objectives for tradeshows
- Create a comprehensive tradeshow plan that includes timelines, logistics, and resource allocation
- Collaborate with the marketing and sales teams to develop event campaigns that contribute to our growth and brand awareness
- Provide clear, consistent, and effective communication of all programs and opportunities to stakeholders in a timely manner, including briefing documents and logistics
- Develop and implement scalable processes that support communication, documentation, and follow-up
- Budget management
- Manage tradeshow budget
- Track and report expenditures, ensuring shows stay within allocated budgets
- Negotiate with vendors/partners as needed to effectively allocate tradeshow resources for maximum return on investment.
- Vendor/partner management
- Coordinate with external vendors for booth construction, design, and setup
- Ensure all vendors are delivered on time and meet quality standards.
- Establish relationships with industry associations and events/tradeshow teams
- Booth design & Branding
- Ensure that branding and messaging are consistent across all marketing materials and displays
- Oversee the production of promotional materials, giveaways, and other event collateral.
- Work with exhibit services and external vendors to ensure all necessary product, displays and relevant equipment is shipped to shows on time
- Logistics Coordination
- Organize shipping and delivery of materials, products, and booth assets to tradeshow sites
- Arrange travel and accommodations for booth staff and commercial leaders
- Promotion
- Collaborate with marketing team members to promote the tradeshow and help drive quality traffic to the booth
- Administer the ordering, inventorying, and distribution of branded promotional items
- Develop pre/post show marketing plans- promotion and lead follow-up
- Coordinate with the legal department on edits/updates to the liability insurance when necessary
- On-site event management
- Point of site contact to ensure all aspects of the tradeshow run smoothly
- Manage booth staff and media
- Create a plan for each show that includes, but is not limited to due dates, responsibilities, tasks, budgets, general information, exhibitor forms & orders, shipping information, literature and promotional materials, promotion opportunities, contingencies plans, and post-show follow up information
- Plan and implement customer receptions at trade shows
- Pre/Post event management and evaluation
- Work with internal and external resources to gather and analyze data from each event, including lead generation, attendee feedback, overall performance
- Create a detailed post-show event report to include lead follow-up expectations, opportunities, and ROI
- Develop pre and post-show communication and nurture plans in partnership with the marketing and product teams
- Identify and explore opportunities to work with distributors and ISR’s on co-marketing campaigns with the Channel Marketing Manager
Job Requirements
- Degree in Marketing/Communications
- Five years of experience in marketing
- At least two years of experience in tradeshows
- Demonstrated event planning and event management best practices
- Experience working in a fast-paced environment with a track record of successful execution of multiple events with competing priorities
- Exceptional program, project, and time management skills
- Highly organized, detail focused, results-driven, accountable with the ability to handle stress and last minute, urgent requests
- Consultative approach to questions, concerns, and issues
- Excellent budgeting, negotiation and vendor management skills
- Project management skills and experience using tools such as Monday.com or Smartsheet
- Excellent verbal and presentation skills
- Expertise in Microsoft Office Suite
