Summary


The Office Manager is responsible for leading front office operations of a distribution center.  These operations include counter sales, customer service, order entry, trucking/dispatch, and inventory accountability.  Must display a professional and positive attitude and foster a cohesive team environment. 

 

Essential Duties and Responsibilities

 

  • Overall responsible for all customer service aspects of the site; provide support to customers and contractors via walk-in, telephone, and electronic communication
  • Assess staffing needs, coordinate employee schedules, and assign specific tasks
  • Understand products so that you may provide technical guidance to customers and staff as necessary
  • Work closely with the outside sales team to coordinate customer care and order distribution
  • Supervise trucking dispatch, drivers, and the trucking fleet to ensure timely and accurate product delivery
  • Ensure trucking fleet is properly maintained and in safe operating condition
  • Be familiar with DOT/DMV regulations to ensure trucks are safely loaded and operated according to regulation
  • Oversee the accountability of all physical inventory on-site and administer quarterly full physical inventories
  • Must be able to act quickly and creatively to solve problems; work independently and make decisions
  • Properly follow all company policies and OSHA regulations for safe working procedures.  Wear personal protective equipment (PPE) in designated area as stated by OSHA and company policy
  • Perform opening and closing procedures; reconcile and account for cash receipts, prepare and review daily reports, and maintain proper records according to company policy
  • Available to work overtime, nights, and weekends when necessary. Reliable attendance is essential in performance of the role
  • Coordinate with operations staff to assist with plant production planning based on customer needs
  • Oversee facility and property maintenance contract
  • Understand and comply with site budgets and enact cost-saving measures when necessary
  • Minimal travel is required to attend training, sales meetings, schools, and events

 

Supervisory Responsibilities

 

This position has direct reports.  Manager is responsible for hiring, training, motivating, and supervising all employees.  Manager must assign tasks as necessary to complete all work.  Safety is our #1 priority and manager must ensure they are fostering a strong safety environment with 100% compliance to all safety measures.

Education/Experience

 

  • Associate’s degree or two years of college or technical school and 1+ years of previous progressive sales experience or equivalent combination of education, training, and experience  
  • Knowledge of masonry and hardscapes products, building materials, and cement is preferred
  • Must possess computer aptitude, the ability to use Microsoft Excel, Word, Outlook, and Teams, and the ability to learn new computer skills
  • Must possess excellent verbal and mathematical skills
  • Proven customer service skills
