This position is responsible for supporting the Accounts Payable function, but also may include support of other Accounting functions in areas such as A/R, month-end, and general accounting.


Essential Duties and Responsibilities


  • Compiles and sorts invoices and checks, substantiating business transactions
  • Verifies and posts details of business transactions and totals accounts to ledgers or computer spreadsheets and databases
  • Assist in the purchasing and receiving of inventory
  • Accurately prepare vouchers, invoices, checks, account statements, reports, and other records for review
  • Codes data for input to financial data processing system according to company procedures
  • Assists with monthly physical inventories.
  • Respond to inquiries from customers and vendors, and researches/resolves outstanding credit issues
  • General office duties including answering incoming phone calls.
  • Work with dispatchers, drivers, and operations personnel to handle customer orders/complaints
  • Assist in developing new policies/procedures
  • Compiles information on employees such as emergency contacts and keeps up-to-date
  • Audit freight bills against freight manifests
  • Analyzes vendor accounts and may negotiate extended terms with minor vendors at General Managers’ request or discretion
  • Assist in planning and coordinating office/company functions as needed
  • Prints all accounts payable reports and maintains all accounts payable files
  • Assists in monthly closing
  • Distribute invoices for payment authorization
  • Prepares, reviews, and sets up requests for new vendors
  • Perform shipment confirmation, involves keying amounts delivered to customers and charging freight when applicable
  • File miscellaneous receivers, copies of invoices and copies of delivery tickets
  • Complete credit applications and sales tax exemption certificates as required by vendors
  • Retrieve accounting entries and documents as required by accounting manager for account analysis
  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed

Requirements / Education / Experience


  • At least 3 years of experience in general office and accounting functions
  • Proficient in MS Office applications, especially Excel
  • Skilled and accurate in data entry and data research with 10-key operation experience
  • Ability to negotiate for positive results
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
  • Previous accounting experience preferred
  • Excellent communications skills, verbally and in writing with all levels within the company and vendors
  • Knowledge of basic accounting and math
  • Ability to read and comprehend simple instructions, short correspondence, and memos
  • Knowledge of construction products, computers, inventory, and telephones preferred but not required
  • Ability to read and interpret documents such as new vendor forms, purchase orders, receiving documents, vendor statements and invoices, credit applications, and SOX documents
  • Strong ability and skill to follow-up, attention to detail, and organization
  • Experience with Lawson preferred but not required


Physical Environment


  • Lift up to 10 lbs., carry objects and occasionally lift and/or move up to 25 lbs
  • Ability to perform sedentary work, occasional walking, standing, squatting and bending is required
  • Prolonged sitting and/or standing, repetitive use of fingers and hands for typing
  • Available to work overtime as necessary
