Position Overview

The Office Assistant provides administrative support to the Senior Administrative Assistant and will conduct the role in an effective, confidential, and efficient manner. In addition to administrative support, the person will be responsible for day-to-day office management and receptionist duties. Competency requirements include customer focus, drives for results, collaborates, communicates effectively, and action orientated.

 

Essential Duties and Responsibilities

 

  • Serve as receptionist on-site at the company headquarters, greeting guests and connecting them with their on-site contact.
  • Answering incoming phone calls in a polite and professional manner and accurately taking messages
  • Organize and maintain filing systems
  • Responsible for reception areas, copiers, printers, office suppliers, and overall property management
  • Responsible for direct mailing including stuffing and mailing documents / envelopes and various mail room duties
  • Provide day-to-day office management support, including the organization and cleanliness of meeting rooms and shared spaces
  • Maintains mailroom operations, including acceptance of packages and mail, sorting, and delivering mail throughout the office as needed
  • Responsible for the administration of employee recognition programs including service anniversary awards, above and beyond items, and others
  • Responsible for the coordination of employee gifts and/or support for employee life events (birth, bereavement, etc.)
  • Coordinates schedules, makes appointments, arrange and coordinate travel schedule, maintain calendar and contacts as needed to support the Senior Administrative Assistant
  • Arrange meetings, including all logistics (catering and meals, agendas, meeting materials, and facilities) as directed by the Senior Administrative Assistant
  • Provide administrative support as requested by the Senior Administrative Assistant
  • Support the Senior Administrative Assistant in the submission and reconciliation of expense reports on behalf of Company President and / or Executive Management Team
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Other duties as may be assigned

 

Education/Experience

  • High School Diploma or equivalent
  • Strong skill base in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Proven ability to develop relationships and work with teams
  • Excellent interpersonal and communication skills: building rapport, listening, presenting, giving and receiving feedback
  • Strong time management skills

 

Knowledge/Skill Requirements

  • Ability to work independently with attention to detail
  • Able to follow direction and work effectively in a team environment
  • Detail orientated with strong organizational skills
  • Excellent computer skills and proficient in Word, Excel, Outlook, etc.
  • Must have a positive attitude and team player
  • High level of responsiveness
  • Ability to function in a fast-paced environment
  • Ability to effectively prioritize to meet long term and short-term deadlines
  • Ability to respond to stressful situations, co-workers, and customers in a professional, courteous demeaner
