Position Overview

 Administer the payroll function from entering all employee data in system and importing/keying of timecard information to review of information entered and imported to be in compliance with all Federal and State laws and Company Policies and Practices.  In addition, the position will maintain union reporting and assist with monthly payroll accruals

 

Key Responsibilities (Essential Duties and Functions)

  • Processes payroll records for all new and terminated employees, including W-4 information.
  • Knowledge in payroll compliance associated with federal, sate and local regulations.
  • Export and import daily payroll hours from time capturing system to EAP.
  • Review and verify accuracy of payroll entries and other information.
  • Import of Equipment Usage, Progress Units and Meter Reading batches and notify appropriate personnel in timely manner on availability.
  • Check weekly hours for regular, overtime, vacation, etc.
  • Check for missing timecards.
  • Check and balance payroll register and final interface to ensure accuracy.
  • Process payroll for all PR Groups.
  • Produce and distribute multiple weekly payroll reports.
  • Coordinate and advise Human Resources on payroll process and changes.
  • Perform data entry and administer various items, transfers, address changes, direct deposit information, W-4 information, benefits changes, 401k changes, etc.
  • Complete Monthly Payroll Accruals/Invoices and Monthly Union Check Requisitions.
  • Makes any required changes to employee information such as change of address, withholding, deductions and/or direct deposit.
  • Work with Atlanta Payroll Dept. to Process and Prepares payroll checks for distribution.
  • Maintain Union rate and benefits changes.
  • Prepare Garnishment check requests and send the payments to the authorities.
  • Prepare monthly union benefits reports and send benefits payments to the appropriate union.
  • Track union vacation usage and prepare unused vacation payout requests as per contract. 
  • Assists with preparation for all audits including Internal, External, SOX, and Union.
  • Answer payroll inquiries from employees and solve problems.
  • Maintain Confidentiality.
  • Maintains professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a “need to know” basis.
  • Regular and timely attendance is required
  • Additional duties as assigned or required.
  • Review and verify accuracy of payroll entries and other information.

 

Additional Responsibilities

  • Aid in maintaining employee files.
  • Process and respond to unemployment claims.
  • Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.
  • Must be willing to travel and work away from home when required.
  • Must be willing to work nights and weekends when necessary.
  • Strict adherence to safety requirements and procedures as outlined in the Environmental, Health & Safety Manual.
  • Strict adherence to PJ Keatings policies and procedures as outlined in the Employee Manual.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. 

 

Education & Experience

  • Associate’s degree or equivalent from a two-year college or technical school; minimum of five years related experience and/or training; or equivalent combination of education and experience.

 

Work Requirements

  • High level of confidentiality regarding all payroll information. Required to sign confidentiality agreement.
  • Must be willing to have a flexible schedule and be willing to work nights and weekends when necessary.  At least one Sunday a month required for month end payroll.
  • Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.
  • Must be willing to travel and work away from home when required.  Strict adherence to safety requirements and procedures as outlined in the Environmental, Health & Safety Manual.
  • Strict adherence to PJ Keating policies and procedures as outlined in the Employee Manual.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. 
  • Must be 18 years in age or older.
  • Must pass drug screen and criminal background check.

 

Knowledge/Skill Requirements

  • Highly effective oral and written communication skills required.
  • Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.
  • Proficiency of MS Excel and Word applications required.
  • Ability to analyze issues independently.
  • Ability to perform under deadline pressure.
  • Ability to understand and follow complex verbal and written instructions.
  • Ability to meet attendance schedule with dependability and consistency.

 

Physical Requirements

  • Able to stand, walk, use hands and fingers to manipulate objects, talk and hear.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

  • The employee is frequently required to stand and walk for extended periods of time.
