This position will support the DOT Compliance Manager on an administrative level to maintain safety compliance as required by local and federal regulations, as well as in accordance with company policies. This employee will assist and communicate daily with human resources professionals, operational managers, driver coaches and safety personnel. Regular research, reporting and assistance with safety training development and tracking are also the responsibility of this role. Fosters teamwork, positive work environment and the overall safety of themselves and others.

Essential Functions & Responsibilities

Administrative & Office Support

  • Provide high-level administrative support including document preparation, data entry, and file management.
  • Create, edit, and maintain spreadsheets, databases, and reports using Microsoft Office (Word, Excel, Outlook).
  • Manage inbound and outbound calls in a professional, courteous, and organized manner.
  • Prepare and maintain electronic and physical filing systems.
  • Assist with scheduling, correspondence, and coordination of internal communications.
  • Support daily office operations and ensure accurate reporting and documentation.
  • Prepare presentations, reports, and other documentation for leadership as needed.
  • Assist managers with general administrative tasks, data tracking, and project support.

 

DOT Compliance Support

  • Assist the DOT Compliance Manager in maintaining historical and current driver qualification files.
  • Compile and analyze driver data (PSP, Ten Street, MVRs) to verify qualifications and driving history.
  • Support compliance activities, ensuring adherence to FMCSA, DOT, and company standards.
  • Create and maintain compliance reports, spreadsheets, and safety documentation.
  • Review roadside inspections, citations, crash reports, and assist with Data-Q challenges.
  • Administer safety training programs and track training requirements for drivers and staff.
  • Monitor CSA scores daily and oversee license monitoring and infraction tracking.
  • Assist with the random drug screening process in partnership with HR and operations.
  • Support hearing conservation program tracking and compliance testing.
  • Develop digital compliance forms and automated reporting tools.
  • Ensure accurate reporting, recordkeeping, and documentation for management and regulatory agencies.

 

Requirements and Skills

  • Ability to work a 40-hour work week, Monday through Friday, with overtime as needed.
  • 2–4 years of administrative or general office experience.
  • Detail-oriented with strong problem-solving and multi-tasking skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook); advanced Excel skills strongly desired.
  • Strong organizational, analytical, and communication skills (written and verbal).
  • Familiarity with systems such as Quick Base, Access, and Ten street are highly desired.

 

Qualifications

  • High school diploma or equivalent required; additional education preferred.
  • Bilingual (English/Spanish) preferred but not required.
  • Must be legally authorized to work in the United States.
  • Must pass pre-employment drug screen, background check, and driving record review.
