Position Overview

 

This is a skilled position with emphasis on Department of Transportation (DOT) Compliance. The employee would be responsible for the day to day activities of ensuring compliance in driver qualification files, employee files, and maintenance. This position works closely with other departments and field operations that will supply information and determinations that could change the status of a company driver.

 

Key Responsibilities (Essential Duties and Functions)

  • Create and maintain filing systems, both electronic and physical, in a secure and confidential manner.
  • Verify all files are up to date, accurate, and entered, in a timely manner.
  • Conduct periodic self-auditing of all files and records to ensure compliance with The Federal Motor Carrier Rules and Regulation (FMCSR).    
  • Requests and reviews background investigation reports such as initial Motor Vehicle Reports (MVRs), background checks, and employment history checks.        
  • Assist with annual queries and ensure compliance with all Driver file programs.
  • Assist with maintenance of active and terminated employee files.
  • Sort, scan, and file all electronic and hard copy files.
  • Ability to track, review, and interpret various records and reports.
  • Assists with monthly DOT Drug and Alcohol Random Testing.
  • Other duties as assigned by supervisor.

 

Qualifications

 

Education/Experience

  • High school diploma or general education degree (GED) required
  • One to two years previous DOT file experience preferred

 

Work Requirements

  • One to two years previous clerical experience

 

Knowledge/Skill Requirements

  • Intermediate skills in Excel, Word, Outlook, and related computer software
  • Awareness of FMCSR as it relates to driver qualification and related compliance items 
  • Strong organizational skills with the ability to prioritize, set goals, and accomplish responsibilities with limited supervision
  • Strong communication skills and comfortable corresponding with management team and employees via phone, email, and face to face.
  • Dependable and self-motivated
  • Able to work a full time schedule 8 AM to 5 PM Monday thru Friday

 

Physical Requirements

 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

 

While performing the duties of this job, the employee is occasionally required to crawl, kneel, bend, and reach with hands and arms above their shoulders.  The employee must occasionally lift and/or move anywhere up to 25 lbs.  Physical agilities test may be required.  The employee is occasionally exposed to wet and/or humid outside weather conditions; and extreme cold and/or heat.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

 

Work Environment

This position may qualify for a hybrid schedule between working in the office and at home.

 

While performing the duties of this Job, the employee is rarely exposed to wet and/or humid conditions; moving mechanical parts; outside weather conditions; extreme cold and extreme heat. The noise level in the work environment is usually quiet.
