Pay: $18-$22 an hour, depening on experience.

 

Position Overview

Provide administrative support in day-to-day office management. Performs office duties related to the administration for all Materials companies by works with the Operations, Human Resources and Payroll teams to maximize the utilization of the timekeeping, onboarding and general office administrative component of the organization. Works under general supervision with routine duties following specified instructions, standard policies, and procedures. This person will conduct the role in an effective, confidential, and efficient manner, while demonstrating strong customer focus.

 

 

Key Responsibilities (Essential Duties and Functions)

  • Assist with the maintenance of local policies and procedures, including employee handbook, and disseminating this information to employees, as needed.
  • Coordinates all priority actions and ensures follow-up; responds promptly and efficiently to information requests from senior management, external managers or functional heads.
  • Assists with meeting, maintaining and distribution of all DOT requirements, including: coordinates employee drug testing for DOT compliance and random testing program per company policy, and maintains DOT files as required for compliance.
  • Utilizes Infield, Track-It, Shared Services, Attendance on Demand (AoD), and ViewPoint during payroll process as part of the validation, import and export of data, and payroll processing.
  • Handles exporting/importing time sheets as required into time keeping system including but not limited to daily and pay period ending.
  • Assists direct supervisors with monitoring time sheets before processing payroll.
  • Monitors inventory of office supplies and orders as needed, including postage meter.
  • Maintains archived file records for physical files stored at Iron Mountain.
  • Process employment verifications and assist in unemployment claims process.
  • Be a champion of company HR initiatives and safety culture.
  • Assists with administrative responsibilities and special projects, including compilation of data, data analysis and report preparation/generation, analysis and distribution of reports as requested by management.
  • Maintains professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a “need to know” basis.
  • Regular and predictable attendance at assigned times is required.
  • Other duties as may be assigned.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Education/Experience

  • High School diploma or general education degree (GED) required.
  • 2+ years related in administration experience. 
  • Experience in payroll and/or timekeeping preferred.

 

Work Requirements

  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Knowledge of general office practices and procedures.  Knowledge of grammar, spelling, and punctuation.  Skill in operating a computer to store data and general reports.
  • Ability to add, subtract, multiply and divide.  Ability to use general office equipment such as a calculator, personal computer, copy machine, fax machine, mail machine, etc.  Verbal and written communication skills needed.  Ability to pay close attention to detail with minimal errors. Ability to perform 10K by touch.
  • Must be 18 years in age or older.
  • Must pass pre-employment physical, drug screen and criminal background check.
  • Must possess a valid driver’s license.
  • Able to safely drive a vehicle.
  • Regular required attendance and reporting ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as per company policy.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA.
  • Compliance with all OSHA and/or MSHA regulations.

  • Highly developed verbal and written communication skills and an ability to work with Management
  • Strong problem solving skills preferred.

  • Ability to understand and follow complex verbal and written instructions.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • May occasionally lift move/carry up to 10 lbs. and occasionally use exertion forces of pushing/pulling of up to 10 lbs.
  • Frequently required to sit, stand, walk, talk and hear, use hands and fingers to manipulate objects for extended periods of time.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

 

Work Environment

  • Standard office environment.
  • Visits to outdoor work locations/ job sites as needed
  • Tempo is fast-paced with deadlines.
  • The noise level in some areas of the work environment may be moderate.
