Position Overview
The Logistics Administrator will be responsible for coordinating logistics tasks such as time entry, ticket reconciliation and data entry, ensuring efficient and timely delivery of goods. This role requires excellent communication skills, the ability to multitask, and a strong understanding of logistics, transportation and supply chain management
Key Responsibilities (Essential Duties and Functions)
The basic responsibilities of the Customer Service Representative include but are not limited to the following.
Coordinate and Monitor Logistics Operations:
- Entering Truck drivers’ clock in/out times and updating truck engine hours and mileage daily
- Setting up and completing daily trucking P&L reports for internal and external trucks
- Setting up Fleetwatcher for the next day operations and running KPI reports daily
- Helping dispatch with taking care of customers, answering phones and taking asphalt orders
- Various data entries and reporting:
- Time entry of internal haulers
- Hourly haul collection
- Ticket reconciliation
- Reporting
- Data entry; pulls; analysis.
Documentation and Compliance:
- Prepare and process shipping documents, including bills of lading, invoices, and customs documentation.
- Ensure compliance with all relevant regulations and standards, including safety and environmental guidelines.
- Maintain accurate records of all logistics activities and transactions.
- Entering Haul Vendor hourly tickets into ViewPoint
- Record keeping for internal Truck drivers: Filing log sheets, load tickets DVIRs, etc.
Vendor and Carrier Management:
- Establish and maintain relationships with carriers, suppliers, and vendors.
- Collect tickets daily from haul vendors
- Organize and prepare vendor payouts
- Reconcile ticketing and pay issues
Customer Service:
- Address customer inquiries and provide updates on shipment status, as needed.
- Resolve any issues or complaints related to logistics and delivery, as needed
- Collaborate with the sales and customer service teams to ensure customer satisfaction.
Process Improvement:
- Identify opportunities for improving logistics processes and implement best practices.
- Utilize logistics software and tools to optimize operations.
- Monitor key performance indicators (KPIs) and report on logistics performance.
Qualifications:
Education:
- High School: Bachelors preferred
Experience:
- Minimum of 2-3 years of experience in logistics, supply chain, or a related field.
- Experience with logistics software (e.g., TMS=Transportation Management Systems, WM=Warehouse Management Systems) and ERP systems.
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Analytical and problem-solving skills.
- Attention to detail and accuracy.
Other Requirements:
- Ability to work in a fast-paced environment and meet deadlines.
- Knowledge of transportation regulations and compliance standards.
- Ability to lift and move heavy objects as needed.
