Position Overview

The Operations Admin will be responsible for assisting managers with daily operations. This includes overseeing administrative office needs as well as supporting management with accounting procedures.

 

Key Responsibilities (Essential Duties and Functions)

  • Answer the Landline and redirect calls to the correct point of contact.
  • Oversee the Office services of Equipment, Cleaning, and Maintenance agreements.
  • Manage Office supplies inventory and the safety supply inventory for orientation.
  • Act as a liaison for any employee questions and redirect to the correct point of contact.
  • Receive mail/packages and distribute to correct point of contact.
  • Places orders from managers requests either through purchasing portal or punchout
  • Follow up with generated PO receipts to match with invoices.
  • Enter and submit P-Card receipts for mechanics in BOA
  • Approve time in Middleware
  • Works with vendors to process core credits and ensure returns are credited.
  • Track CAPEX projects
  • Orders water, coffee, and shop cleaning supplies maintains stock of consumables.
  • Orders uniforms and other items for the production department.
  • Works with vendors on delivery or shipping delays.
  • Coordinates food and drinks for safety trainings and employee appreciation events for the plant. 
  • Collect boot receipts and estimate amounts need to be accrued at month end.
  • Assist Plant managers in completing Pcard report accurately and timely.
  • Follow all established company policies.
  • Promote good moral and performance.
  • Regular and predictable attendance at assigned times is required.
  • Other duties as may be assigned. 

 

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

           Education/Experience

  • Minimum requirement is a high school diploma or equivalent.
  • Two years certificate from college or technical school preferred.
  • 2-4 years related work experience and/or training preferred.
  • Knowledge in construction required.

 

Work Requirements

  • Must be 18 years in age or older.
  • Must pass a drug screen and criminal background check.
  • Must be detail orientated.
  • Strong oral and written communications and problem solving skills.
  • Must display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.
  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.
  • Must have the ability to work without close supervision.
  • Must be willing to work nights and weekends when necessary.
  • Be able to work overtime when required

 

  • Knowledge/Skill Requirements
  • Strong Microsoft Office proficiency, especially Excel.
  • Effective verbal and written communication skills and an ability to work with management.
  • Ability to operate office equipment including, but not limited to: computers, copiers, ten key adding machine, printers, etc.
  • Ability to analyze issues independently and complete daily activities according to work schedule.
  • Knowledge and/or previous related experience in financial accounting environment preferred.
  • Ability to perform under deadline pressure.
  • Basic typing skills.

  • The noise level in some areas of the work environment may be moderate.
