Position Overview

Reporting to the Division Safety Professional, The Safety Administrative Assistant will assist and support the Safety Department in data collection/entry/reporting, claims handling assistance, training/education scheduling, DOT/motor vehicle compliance, and safety program administration. 

 

Key Responsibilities (Essential Duties and Functions)

The criteria for evaluation in this position include but are not limited to the following:

  • Collect and compile data from multiple sources within the division for reporting to the workforce, management, and corporate entities.
  • Composition of routine correspondence.
  • Maintain/create various reports including both internal and external.
  • Collect data from internal safety applications, emails and mailed in safety documents.
  • Assist in gathering documents for claims/incidents.
  • Assists scheduling and coordinating 3rd party and internal safety training.
  • Assist in compliance with Federal and State regulatory bodies such as OSHA, MSHA and FMCSA.
  • Responsible for data entry, review and auditing of the current MVR/DOT program.
  • Assists with general Safety Department duties as directed by manager.
  • Other routine office duties as needed or requested.

  • Must have a high level of customer service for both internal and external customers
  • Ability to communicate with managers/foreman to achieve results with needed documentation/reports
  • Ability to maintain records/files electronically and physically.
  • Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.
  • Limited travel and the ability to work away from home when required.
  • Report to the assigned job site/office ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as outlined in the Manual of Safety Practices and Procedures.
  • Strict adherence to Shelly Company policies and procedures as outlined in the Company Book of Policies.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. 
  • Strict adherence to Sarbanes-Oxley rules.
  • Timely and regular attendance is an expectation of performance for all Shelly Company employees. Employees will be held accountable for adhering to their workplace schedule.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

An interest to grow in a role of Safety is preferred.

 

Education and Experience:

Associates Degree or equivalent experience preferred. 1 year experience in an administrative role. Proficient in basic Microsoft Office programs (word, excel, outlook). Proficient in basic computer skills. The initiative to learn new tasks as assigned.  Strong organizational skills and the ability to balance a variety of job duties simultaneously.

 

Language Skills:

Ability to communicate sufficiently to be able to convey and exchange ideas, and to give and receive detailed verbal instructions. Excellent phone, computer, and communication skills.

 

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
