Position Overview

Provides support to the Division office by assisting in any way possible in regards to clerical duties, phone calls, planning events, and organization of the schedule/filing system, etc.  The individual must maintain a high standard of confidentiality, be extremely professional, organized, detail oriented, outgoing, highly assertive, and make decisions independently when necessary.

 

Key Responsibilities (Essential Duties and Functions)

The criteria for evaluation in this position include but are not limited to the following:

 

  • Type letters, memorandums, spreadsheets, or other documents for Management.
  • Helps to maintain high standard of office appearance and operation including coordinating with vendors on building and office equipment maintenance.
  • Answers all incoming phone calls, directs phone traffic, and helps to trouble shoot office phone issues.
  • Assist in coordinating, special events, etc. in conjunction with Management and other Regional personnel.
  • Handles all incoming and outgoing mail.
  • Manages office/ local service coordination, including but not limited to; cleaning, trash removal, snow removal.
  • Schedules local training rooms as needed.
  • Coordinate special projects as necessary.
  • Maintain and assist with filing system.
  • Assisting with sales operations.
  • Performs general office duties.
  • Assists and provides information for company newsletter submission.
  • Maintain good communications with all personnel.
  • Ability to perform multi-tasks in a fast pace environment.
  • Ability to manage time effectively and set priorities.

 

 

Other Requirements:

Display a professional and courteous attitude to co-workers, supervisors, and the general public at all times.

  • Must be willing to travel and work away from home when required.
  • Must be willing to work nights and weekends when necessary.
  • Report to the assigned job site ready to begin work at the designated start time.
  • Strict adherence to safety requirements and procedures as outlined in the Manual of Safety Practices and Procedures.
  • Strict adherence to Shelly Company policies and procedures as outlined in the Company Book of Policies.
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required. 
  • Timely and regular attendance is an expectation of performance for all Shelly Company employees. Employees will be held accountable for adhering to their workplace schedule.

 

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

 

Education and Experience

High school diploma or general education degree (GED). Three to five years related experience and/or training preferred. Proficient with Windows, Excel, Word, and PowerPoint.

 

Language Skills:

Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.  Ability to professionally write correspondence. Ability to speak effectively to customers or employees of organization.

 

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

The employee must regularly lift and/or move more than 25 pounds. Specific vision abilities required by this job include distance vision, peripheral vision, and depth perception.
