Position Overview

Provide administrative support to Helena Sand & Gravel. The person will conduct the role in an effective, confidential, and efficient manner, while demonstrating a strong customer and team focus.


Key Responsibilities (Essential Duties and Functions)

To perform this job successfully, an individual must be able to perform the following essential functions satisfactorily:

  • Provide administrative support to Helena Sand & Gravel Employee’s
  • Professionally answer and direct phone calls for multi-line and multi-company system; greet and assist visitors in the office
  • Conducts daily bank and mail runs
  • Handles and process daily cash sales
  • Maintains of office, kitchen and safety inventory
  • Schedules and coordinates trainings, meetings, including all logistics (travel, catering, room setup, equipment, etc.)
  • Maintains daily entry reports using Excel
  • Runs monthly reports and conducts audits, will meet deadlines without losing quality of work
  • Assists with the new hire process
    • Post jobs on job boards
    • Coordinates pre-employment appointments
    • Conducts new hire orientation
    • Assist HSG HR coordinator as needed
  • Handle sensitive information in a confidential manner
  • Other duties as assigned



To perform this job successfully, an individual must have the following knowledge, skills and abilities:



  • High School Diploma or equivalent
  • At least 2 years of experience as an Administrative Assistant or a related field
  • Previous experience answering multi-line phone

Knowledge/Skill Requirements

  • Strong problem solving and communication skills
  • Strong computer skills including Outlook, Excel, Word, and PowerPoint
  • Ability to work in a fast paced environment
  • Detail oriented, flexible, organized, and a self-starter
  • Ability to multi-task with time management
  • Teamwork and ability to work with a wide variety of people
