Job Summary

 

This hybrid role combines dispatch coordination with administrative and scale operations support. The position is responsible for planning and scheduling deliveries, coordinating logistics, performing clerical/administrative tasks, supporting customer service, and operating scale/office systems to ensure efficient site operations. The individual may support multiple departments and interacts regularly with drivers, customers, vendors, and site leadership.

 

Job Responsibilities

 

  • Plan effective delivery routes and assign drivers for scheduled deliveries.
  • Coordinate deliveries with company drivers and external trucking partners to ensure timely, accurate shipments.
  • Review all orders before shipment and verify accuracy against delivery tickets.
  • Communicate product availability, load requirements, scheduling, and project‑specific logistics with customer service and sales teams.
  • Schedule customer delivery appointments and ensure load weight compliance and secure loading.
  • Perform general clerical work, including preparing forms, reports, correspondence, and filing documents.
  • Prepare and process invoices, delivery tickets, shipping documents, and other related paperwork.
  • Manage incoming/outgoing mail, maintain postage meter, and maintain historical records.
  • Organize and maintain filing systems, phone lists, and documentation for various departments.
  • Answer and route phone calls, greet visitors, and provide customer support. 
  • Assist with ordering office supplies and coordinate equipment maintenance.
  • Provide A/P and A/R file support.
  • Support Site Manager and Assistant Site Manager with daily office functions, as assigned.
  • Operate scale systems, verify loads, and ensure accurate recording of inbound/outbound materials.
  • Provide clear communication to drivers regarding site rules, safety, and load instructions.
  • Maintain organization of scale house area and ensure accurate documentation.
  • Develop positive internal and external customer relationships to support company growth.
  • Support receptionist duties as needed and ensure a professional, welcoming office environment.
  • Perform other duties as assigned, temporary or permanent.
  • Must follow all company safety policies and processes, including wearing site/job specific PPE.

 

Job Requirements

 

  • High school diploma or equivalent required; Associate’s degree preferred.
  • 1+ year of related administrative, dispatch, or logistics experience.
  • Experience with scale operations or transportation logistics preferred.
  • Must have a Weigh Master’s License
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and basic office equipment.
  • Strong communication (written and verbal), customer service, and organizational skills.
  • Ability to solve problems, manage multiple tasks, and work independently.
  • Basic math skills, including computing rates, ratios, and load weights.
  • Ability to perform under fast paced work environment.
  • Excellent organizational skills and attention to details

  • Ability to lift up to 50 lbs depending on site needs.
  • May require extended standing, walking, bending, climbing, or working outdoors in varying conditions.
  • Ability to perform sedentary work including prolonged sitting and typing.
  • May require overtime or work under stressful conditions.
