Position Overview

The Scale House Attendant / Inside Sales Representative is based in Lunenburg, MA and is part of the P.J. Keating commercial sales team. This role reports to the Materials Billing/POS Supervisor.  The role is tasked with providing excellent and accurate service to our customers.  In addition this role will support the growth and maintainance of relations with P.J. Keating’s broad customer base of municipalities, contractors, builders, asphalt and concrete producers.

Key Responsibilities

Inside Sales:

  • Process in a timely manner, customer requests, received via email and telephone, for price quotations, bid requests, plant and product availability, product application, orders, and deliveries
  • Make outgoing calls to new or existing customers to profitably grow business
  • Provide product, negotiate pricing and delivery information for prospective and specified customers.
  • Process sales request directly from customers and/or outside sales.
  • Review customer orders to ensure correct pricing and efficient sourcing of products
  • Help coordinate material deliveries with Dispatch and Production teams
  • Quickly and smoothly resolve possible complaints and billing corrections
  • Maintain strong relationships and provide exceptional customer service to ensure repeat business
  • Monitor customer accounts, with support from Credit department, to ensure prompt payment
  • Provide support to Outside Sales team
  • Interact with Production team to ensure appropriate inventory of product is available to meet customers’ needs
  • Develop and maintain key account plans of customers and profiles of competitors
  • Forecast support,  through ongoing dialogue with sales representatives, product needs to ensure efficient product sourcing and delivery
  • Support sales team in gathering and sharing market intelligence and provide input regarding demand forecast, inventory and pricing
  • Understand and enhance selling skills and activities that increase personal effectiveness
  • Run required reports for the sales team
  • Become functionally knowledgeable with P.J. Keating’s point of sale load out system for the purpose of providing scale coverage when necessary. 
  • Other duties as may be assigned

Scale House Attendant:

  • Provide pricing and delivery information to customers.
  • Responsible for the efficient running of the Scale House and ensure that trucks are being loaded and dispatched without delay by coordinating with Loader/Plant Operators and Quarry Superintendents as necessary.
  • Weighing of trucks, produce accurate transactions on a timely basis of construction materials according to DOT regulations, state laws and company policy.
  • Maintain accurate files in the point of sale system on customers, jobs, products, trucking, and haul rates
  • Process customer telephone orders and schedule deliveries for construction materials
  • Direct company based and hired trucks daily activities from Transportation Managers schedules.  Direction of company trucks will be done in co-ordination with Transportation Manager
  • Ensure driver paperwork, daily sales information and any additional information that is required be completed accurately and timely, proper records kept and pertinent copies are passed on to the appropriate parties
  • Balance daily cash sales and submit to accounting
  • Monitor and track trucks from the start of the order until it has finished and continually make sound decisions that will maintain service levels
  • Communicate every morning with the Plant Operators to make sure they are ready for batching and that there are trucks available to load
  • Provide a central communication link for the district through accurate and professional operation of Nextel and/or CB radio.  Must continually listen to the radio for potential problems.  As problems arise, take appropriate action or refer to appropriate manager. 
  • Coordinates delivery/pick-up of customer orders, tracking and resolve customer inquiries with expediency
  • Take ownership of and effectively manage and resolve customer issues

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

  • Minimum of two years of experience in a Sales/Marketing position or equivalent position with a customer service focus
  • Previous experience in construction sales is preferred
  • Customer Relations Management, MS Office Excel

 

Knowledge/Skill Requirements

  • Ability to support and negotiate skillfully in tough situations with both internal and external groups.
  • Full knowledge of the organization and its functions to understand the decision making process and its effects on efficiencies. The ability to communicate with others and to assimilate and understand information, in a manner consistent with the essential job functions.
  • Must display a courteous and professional attitude when dealing with co-workers and the public
  • Ability to be a self-starter and able to operate under general guidelines.
  • Ability to effectively work with customers, employees, and suppliers.
  • Ability to provide and understand detailed information regarding specifications of products.
  • Ability to perform under deadline pressure.
  • Able to read maps
  • Able to work independently with a strong attention to detail.
  • Ability to do basic math
  • Excellent computer skills and proficient in Word, Excel, Outlook, etc., and knowledge of current operating systems and office suites
  • Ability to work early morning hours and weekends as needed.
