Position Overview

 

This is a skilled position requiring the individual to coordinate and perform a variety of general office duties. This position will spend approximately 50% of each day at the reception area answering phones. The other portion of the day will be spent on the office assistant duties listed below. 

Key Responsibilities (Essential Duties & Functions)

  • Maintains inventory and orders supplies for the office.

  • Answers a multiple line phone system, performs data entry, copying, shipping, and distributing courier packages, sorting mail, and coordinating of office supplies.

  • Operates office equipment including, but not limited to: telephone switchboard, computers, copiers, fax machines, printers, etc…

  • Enters daily production usage.

  • Enters daily material weigh tickets.

  • Other duties as assigned per supervisor.

Education and/or Experience

  • ·High school diploma or general education degree (GED) required; and one to two years related experience and/or training; or equivalent combination of education and experience.

Language Skills

  • Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write correspondences.

 

Mathematical Skills

  • Basic math ability is required.

Computer Skills

  • Knowledge of Microsoft Office software preferred: Outlook, Word, Excel, etc….

  • Advanced knowledge of Excel is a major plus.

Other Skills and Abilities

  • Excellent customer service skills are mandatory for this position.

  • Ability to speak Spanish maybe a plus.

Other Qualifications

  • Knowledge of basic office practices and protocol.

  • Must be able to work as a team, with shared responsibility for certain tasks.
